Managing Product Change in SAP® ERP Document Distribution and Change Notification Overview The Document Distribution and Change Notification module utilises SAP DMS and cFolders to automatically notify all relevant parties (i.e. employees, customers, suppliers, partners) about product changes and circulates any associated new materials. With the Document Distribution and Change Notification module, all relevant parties can be notified when new documents are released in the SAP ERP system, e.g. distributing design data such as drawings and CAD models or implications for export regulations if exporting intellectual property.  The module also automates the process for notifying suppliers with purchase order amendments when data changes, or customers of product changes with the issue of service bulletins and modification instructions.  Furthermore, third parties can be notified of changes to important documents such as COSHH safety data sheets and packaging waste regulations.  A register is maintained, recording receipt of such documents for audit purposes. You have the option to run the process automatically (for example, triggered by a document being released in the SAP DMS) or manually as required.  Original source documents such as Word and Excel files can be automatically converted to PDF (if required) and then distributed to SAP cFolder's and external suppliers or partners notified of updates via email. External parties can then download the new documents from cFolders.  A distribution log in the SAP ERP system is automatically updated and provided as 'proof of receipt' when the files are downloaded. cFolders is SAP's solution for integration of third parties, outside of the SAP landscape.  It employs an additional SAP server, designed for collaboration with partners and suppliers.  It removes the requirement to allow direct external access to the SAP ERP system, thus safeguarding corporate  security.  This solution is ideal for controlled/audited distribution of documents to external parties.  It can be used to bi-directionally link to back-end SAP ERP systems and is accessible via a web user interface.
